This person will provide administrative support to the Professional Development Coordinator and the Child Care Resource & Referral Network as a whole. He/She will be a resource to all staff and provide support for training activities including registration, training and/or account user support. This position will be required to attend the regional TN-CCPT train the trainer events, so travel outside of the home office is required.
Primary responsibility is to provide administrative support to the Professional Development Coordinator. This may include, but is not limited to:
Prepares training calendars for entry into Learning Stream by compiling and sorting information; establishing entry priorities
Enters quarterly TN-CCPT training calendars and internal training into Learning Stream
Verifies entered training and registration data by reviewing, correcting, deleting, or reentering data
Generate reports weekly from Learning Stream for TN-CCPT training and direct them to the appropriate Quality Coach
Generate Learning Stream reports to share with UT SWORPS
Provide support via phone or email in response to inquiries, concerns, and requests about registration, accounts, and TN-CCPT training entered in Learning Stream
Communicate with the Professional Development Coordinator regarding any potential concerns shown in Learning Stream.
Providing support to train the trainer events and supplemental training events which includes:
Securing event or meeting spaces;
Preparing supply orders for training materials
Putting together agendas and all supporting documents
Updating the Master Titles Worksheet as needed
Maintain training files and make sure it is kept current and well organized.
Associates Degree or higher in Business, Human Services, non-profit management or related field.
Minimum three years administrative experience or a combination of education and experience that is deemed to be equivalent. Experience in a non-profit or social services field is strongly preferred.
Experience coordinating logistics for conferences and large training events is highly desirable.
Knowledge of Microsoft Office products including: Word, Excel, PowerPoint.
Knowledge of database management and strong data entry skills are required.
Must have knowledge of:
Administrative and clerical procedures and systems, managing files, designing forms, and other office procedures as well as structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar
